SYMPTOM

I already have my Employee Master defined in a Spreadsheet, say, MS Excel. I observe that though PERKS provides the option of importing data for the Employee Master, it does not specify the name of any particular Spreadsheet software, such as MS Excel. The available formats for direct importing under the Housekeep / Import Data / Employees module are (1) DBF (2) SDF and (3) DELIMITED Format. Under these circumstances:

  1. I apprehend whether I shall have to key in the employee details manually.

  2. Probably I shall have to go through the entire Spreadsheet, identify each and every department, division, etc. (i.e., the standard fields available for entry through the Employee Master), define them beforehand, and then only I shall be able to proceed for the import.

RESOLUTION

  1. Most popular Spreadsheet packages provide options to export or save data in .DBF format, which is the native data format for PERKS. Therefore, save your data in .DBF format. As an alternative, you could save the data in .CSV (i.e., delimited by comma or some other specific character) format as well. Once you have the exported data, proceed as usual, selecting DBF format or DELIMITED format, as you deem appropriate.

  2. You need not define them (i.e. each and every department, division etc.) beforehand! While specifying the import parameters, just provide the mapping information between the Source Fields and Target Fields as usual. The Miscellaneous items, like Departments and Divisions, will get created dynamically.

MORE INFORMATION

Non standard data, which feature in PERKS as ‘Employee Other Information’, will not be available in your Employee Master before you have created them (unlike a standard field, e.g. the ‘Department’, which will be available in the Employee Master even before a single department is being defined). Therefore, if you need data to be imported into a custom field, you need to define their names and data types before you can import data into them.
