SYMPTOM:You have a repository of data on employee definitions, which are
valid and complete. You have mapped a few fields as necessary, and, have then, proceeded
for import.
However, you observe that no employee is being added in
the Employee Master of the Company in question. How do you go about this issue?
Besides, the Source data might contain other information
for which there may not be fields defined in the Employee Master. What can you do with
these 'other information'?
RESOLUTION:
We discuss the issues raised in order.
On importing employees
After satisfying yourself that data to be imported are legal as
represented in the Employee Master, you should check out for a most common error that is
encountered. The error is that the mandatory fields are not indicated to the System for
the purpose of import.
Consequently, upon import, the System locates data for the
employees as 'illegal'. Hence, it rejects the record, and logs the error. You can view the
log by choosing the Listing / Error Information / Import Employee option.
Here are the four mandatory fields for import of employee:

Employee Id Number
-
First Name of Employee
-
Date of Birth
-
Date of Joining
Ensure that, they are being available in the external data source.
Besides, there are two more pieces of information, which are not mandatory, but desirable
indeed. They are:
The reason is that the System can keep them undefined for
any legal data. Hence, if Marital Status is not specified, by default, it will be taken as
'Single'. Similarly, 'Sex' will be considered as 'Female'. If you do not have the data at
the time of import, then you will need to make modifications in your Employee Master,
later.
On importing 'Other Information'
Most often, the 'Other Information' will be incorporated
into PERKS as 'Employee Other Information'. From version 2.50 onwards, the System supports
import of these 'Employee Other Information'. However, it is not possible to determine the
data type of the 'Other Information' variables, dynamically.
All you need to do, before importing the 'Other
Information', is to define them manually. Thus, select the module Masters /
Employee from the menu, and select the page titled Other Information
to define the variables.
Once import of employees is over, select the Payroll
/ Data Entry / Employee Other Information option from the menu. Press Edit,
and choose Import. Provide the normal mapping information, and proceed.
