SUMMARY:

PERKS now gives the facility of entering the data of selected HOPs. A form called Tag HOPs, has been introduced, after selecting the Employee Id. This Form (or Screen) shows all HOPs are tagged unless and until the Heads of Pay are manually tagged and saved in a Tag Name. In this screen, PERKS gives the option to tag the required HOPs first and then save the tagged HOPs with a Tag Name. Next time, when user wants to do the data entry with those selected HOPs, PERKS gives the option to load the previously tagged HOPs on click on the “Load Tagging” button, no need to browse all HOPs and select manually again. This actually saves time and speeds up the data entry by selecting the required HOPs only. It ignores those HOPs, which are not to be dealt with.

The Tag Names saved user specific. If a Tag Name called “ABC01” is created by PERKS logon user “JOHN” and “ABC02” is created by PERKS logon user “SMITH”, the Tag Name “ABC01” is available to user “JOHN” and the Tag Name “ABC02” is available to user “SMITH” only.

The HOPs of a Paystructure are displayed sorted on either “Tagged” or “HOP Short Name” or “HOP Description” with their respective sequence numbers.

On the selection of the sorting of HOPs by “Tagged” or “HOP Short Name” or “HOP Description”, the sequence is displayed. The sequence is a system generated numeric number starts from 1 and increases or decreases with the tagging or un-tagging of HOPs.  For example, if you tag three HOPs only, say BASIC, DA, HRA, system will show the sequence number as 1, 2 and 3 against BASIC, DA and HRA respectively. If the HOP DA is un-tagged, the sequence number will be re-sequenced and the number will be 1 for BASIC and 2 for HRA. Similarly, if BASIC is untagged, then sequence number will be 1 for DA and 2 for HRA. The last column, Seq, is opened to user and can be entered any numeric number as per user’s entry, however duplicate sequence number is not allowed, system will re-sequence and increase on such duplicate sequence entries.

PERKS also gives the searching facility in the Text field called “Find HOP Short Name / Description” on the Short Name or Description of the HOPs. When a letter is typed in the text field, PERKS highlights and shows all HOPs starting with that letter. Tagging all such searched HOPs in one mouse click is possible by selecting the button “Tag matching HOPs”. Further the facility of tagging or Un-tagging or Invert selection of all HOPs is also available by selecting the “Tag all” or “Untag all” or “Invert” button.

Please note if the Sort option is selected on “Tagged”, the field “Find HOP Short Name” remains disabled.

When any module from the above modules, is selected, the following screen appears (see Table 1). User needs to enter the Employee id only here and one employee appears at a time in this screen only.

Table 1

When the Tab or Enter key is pressed, the following Table appears, in which the HOPs are selected. (see Table-2)

Table 2

The Table-2 shows that all HOPs are tagged. This is because Tag Name is not available. To create a Tag Name with say three HOPs, viz. BASIC, BRALW, BRINCENTIV, user needs to do the following steps :

  • Click on Untag all nutton

  • Click on the text field of “Find HOP short Name” and type B only. PERKS will highlight all the HOPs, whose Short Names start with letter B.  (see Table-3)

  • Next click on the button “Tag matching HOPs”. This will tag the above three HOPs

  • Click on the Save Tagging button and enter a Tag Name in the Text field, say ABC01

  • Next, user needs to click on Load Tagging button and select the Tag Name ABC01, when he/she wants to tag only the above three HOPs - no need to un-tag all and tag the three HOPs again. Please note that the display of this screen is presented with the last Tag Name selection that the user was working on

Table 3

On click on “Tag matching HOPs” button, PERKS puts the sequence of 1,2,3 of all three HOPs. PERKS gives the facility to tag these three HOPs only, when user wants to do data entry for these three HOPs only. (see Table-4.)

Table 4

After selecting the HOPs from tag name ABC01, the following data entry screen appears in which user has to enter the data for that particular employee. (see Table 5)

Table 5

Note : The screen for Select HOP will appear for the first time, namely in the session of entering into this module and selecting the first employee and press Tab or Enter Key. If the next selected employee belongs to the same Paystructure, the screen for Select HOP, will not appear, rather system will show the same tagged HOPs, as selected for the immediate previous employee. In case the next employee does not belong to the same Paystructure as selected previously, then PERKS will show the screen for Select HOPs again, since there is a change of Paystructure of employee.
